Renting vs. Buying of Photocopiers

May it be small business start-ups or expansion of currently settled businesses, the cost benefit analysis between renting or buying office equipment remains. From amongst the basic needs of any office, photocopiers usually top the list. The decision of getting photocopier for rent or purchase has its particular costs and benefits, the analysis suggests-


Advantages and Disadvantages of Buying- Choosing the option of buying a photocopier would result in one-time payment of the equipment, which means a large chunk of cash is paid. The only cost left is the ink cartridges and maintenance. After using the equipment to full term it can easily be disposed of. Also, with time the value of photocopiers goes down, having to pay rentals means paying the value of the photocopier as it was agreed upon at the time of agreement. However, the disadvantage is quite huge; the maintenance lies with the company. If there is any problem regarding its operations, the cost of renewal is on the company to pay. In case the photocopier is out of warranty, it leads to furthermore expenditure.


Advantages and Disadvantages of Rental- If the pros and cons of both renting and buying of photocopiers are compared, the benefits of rental outweigh those of purchase. In the long run, renting photocopier machines leads to no hassle of maintenance. The third party contractor is called up to replace the machine immediately to stop any hindrance to work. The requirement of ink cartridges which is a daily expense is also added up in the agreement of rental. It keeps the cash flow healthy for the company. The only disadvantage that can be seen is, the rental goes out on original value of photocopier which is higher than the original value.
